Setting up QuickBooks Online for a small business involves creating an account, customizing it for your specific needs, and linking your bank accounts, credit cards, and payment methods. I will also set up categories for income, expenses, and taxes to keep everything organized. Once everything is set up correctly, you move to the Maintenance phase where I will track your transactions (income and expenses), generate reports, and help you stay on top of your finances with ease. This setup streamlines your bookkeeping process, saves you time, and ensures you have accurate, up-to-date financial information whenever you need it.

A QuickBooks Online cleanup is for accounts that haven’t been maintained or reconciled for over two years; return inaccurate reporting; or have multiple mis-categorized or duplicate transactions. The cleanup involves reviewing and organizing all your financial data, correcting any discrepancies, and reconciling accounts to ensure everything is accurate. After the cleanup, your QBO account will be up to date, giving you a clear picture of your finances. This helps your small business by ensuring accurate financial records, making tax time easier, and providing reliable data to guide better business decisions moving forward

If your Quickbooks Online has not been reconciled recently, (less than two years) it is time for a Catch Up. This means going through all outstanding transactions in your accounting software and matching them with your actual bank statements. This includes reviewing any unrecorded, missing, or incorrect entries and making sure everything is properly categorized. By reconciling these transactions, you ensure your financial records are accurate and up-to-date, providing a clear and reliable picture of your business’s finances. This process helps prevent errors and ensures smoother tax filing and financial decision-making.

Your QBO accounts are up to date and reconciled...this means it is time for the Maintenance phase. Your financials are reviewed and updated frequently to ensure everything is accurate and organized. This includes reconciling bank and credit card accounts, categorizing transactions, fixing errors, and any data entry required. It can also include monitoring and processing accounts payables and receivables. Regular maintenance helps maintain accurate records, ensures you’re ready for tax time, and keeps your financial reports reliable for better decision-making.
